Privacy Policy

What we collect when you register for XQUIZIT, why we collect it, and what we do with it.

Who we are

XQUIZIT is organised by the School of Communications, XIM University ( “we”, “us”), in collaboration with Eminora Ventures. This policy covers the website https://xquizit.scomm.tech and the registration process it hosts.

Information we collect

We collect only what we need to run the competition:

  • Participant details — student name, school name, class, section, roll number and city.
  • Contact details — phone number and email address, used to send your confirmation and team allotment.
  • Guardian details (optional) — parent or guardian name, phone number and an emergency contact number.
  • Payment metadata — the payment status, payment reference and the amount paid, returned to us by the payment gateway.
  • Technical data — standard server logs and anti-abuse rate-limiting data such as IP address.

We never receive your card, UPI or bank credentials. Those are entered directly on the Zoho Payments interface and are never transmitted to or stored on our servers.

How we use it

  • To create and confirm your registration, and to issue your Registration ID.
  • To form teams after registrations close and communicate team details, rules and schedules.
  • To verify participants at the registration desk on the day of the event.
  • To send transactional email — confirmation, payment reminders and event-day instructions.
  • To issue certificates of participation and record results.
  • To meet the accounting and record-keeping obligations attached to fee collection.

We do not sell your data, and we do not use it for unrelated marketing.

Who we share it with

Your data is shared only with the service providers required to run the event, and only to the extent each needs it:

  • Supabase — hosts the registration database.
  • Zoho Payments — processes the registration fee.
  • Resend — delivers transactional email.
  • Vercel — hosts and serves this website.
  • Eminora Ventures — collaborating partner, for event operations only.

We may also disclose information where we are required to by law, or to protect the rights and safety of participants.

Children's data

XQUIZIT is intended for school students, many of whom are minors. By registering, the participant confirms that a parent or legal guardian is aware of and consents to the registration and to this policy. A parent or guardian may contact us at any time to review, correct or request deletion of their child's information.

How long we keep it

Registration records are retained for up to 24 months after the event, to support certificate reissues, result verification and financial reconciliation. After that they are deleted or irreversibly anonymised. Payment records are retained for as long as applicable financial regulations require.

How we protect it

  • All traffic is served over HTTPS with HSTS enabled.
  • The database enforces row-level security; browsers have no direct write access.
  • Administrative access requires an authenticated account that is explicitly on the organiser roster.
  • Sensitive credentials are stored as server-side environment variables and never exposed to the browser.

No system is perfectly secure, but we take reasonable and proportionate measures to protect your information.

Your rights

You may ask us to:

  • Provide a copy of the information we hold about you.
  • Correct anything that is inaccurate or incomplete.
  • Delete your information, where we are not required to retain it.
  • Stop sending non-essential communications.

Email support@scomm.tech from the address you registered with, quoting your Registration ID. We respond within 30 days. Note that deleting your data before the event will cancel your participation, and the registration fee is non-refundable.

Cookies

The public site uses no advertising or analytics cookies. The organiser dashboard at /admin sets a strictly necessary session cookie to keep signed-in staff authenticated.
